Tracking a Send
Every send lands on Sent. Each row shows where the send is now.
The five outcomes
| Outcome | Meaning |
|---|---|
| Not sent | Scheduled for later, or never left Frankfig |
| Waiting | Sent; nothing has come back yet |
| Delivered | The fax or the network message reached the other side |
| Opened | The recipient opened the link — or confirmed they received the document |
| Not delivered | The send failed |
Email is not confirmed, so an email that left successfully — a plain Email send, or the email carrying a secure link — stays at Waiting; a secure-link send moves to Opened when the recipient opens the link.
A recipient cannot decline a link, only leave it unopened, so there is no outcome for that. There is no "Signed" outcome on Sent either — signing lives on a thread, and shows there.
Withdrawing a link
Revoke link on a Sent row stops every link you sent for that message from opening the document — including any reminder links Frankfig sent later. The send stays on record. It is offered only for secure links, and not once the link has expired, because there is nothing left to withdraw.
A send cannot be cancelled or deleted after it has gone; withdrawing the link is the whole of what can be undone. The send stays on Sent as a record of what was sent and when.
If they don't open it
When you send a secure link you can tick If they don't open it, fax it. With that on, Frankfig:
- Emails a reminder at 48 hours with a fresh link.
- If the link is still unopened after four days, sends a password-protected PDF by email, with the password by SMS.
- If that fails too, sends a fax.
Each step is only tried where it can be. The password-protected PDF runs on Plus and Enterprise once Frankfig has switched it on for your organisation, and needs a mobile number on the contact. The fax needs a fax number on the contact, a plan that includes fax, and fax switched on for your organisation. Numbers come from the contact's record under Contacts in the left navigation. The compose screen tells you before you send whether the fax step will be skipped, and why.
If every step fails, Frankfig emails you.
Leave the box off and Frankfig still emails one reminder at 48 hours with a fresh link. If nobody opens it, Sent shows it as Waiting and notes that the link expired unopened; Frankfig emails you that it did, and tries nothing else.
There is no manual reminder button. The 48-hour reminder is automatic either way.
Records of a send
A Professional or Admin can download an audit trail PDF listing what happened to a send and when, and a certificate of delivery. Both are included from Starter up and are downloaded from a message inside a thread. Neither is on Free, and Starter cannot start a thread, so in practice they are used on Plus and Enterprise.
