Roles and Permissions

Each team member has one of three roles.

Available roles

RoleWho it is forWhat they can do
ProfessionalSolicitors, conveyancers, agents, clinicians, or other fee-earnersSend documents and messages in their own name; take part in threads
SupportFront-desk or admin staffSends in the name of the one Professional they work for; cannot send in their own name. Not billed
AdminFirm principal, office manager, or IT leadEverything a Professional can do, plus: invite people, change roles, suspend and reactivate accounts, manage billing and organisation settings

A recipient who opens a link you sent is not a team member and has no role. They see only that link.

Changing a team member's role

  1. Go to Organisation in the left navigation and find the Team table.
  2. In the Role column for that person, choose the new role from the drop-down.

The change is saved as soon as you choose. Moving someone to Support attaches them to a Professional — the Works for column shows who — and is refused if there is no other active Professional to attach them to. Your own row shows your role as a label rather than a drop-down, so you cannot change your own role here.

Feature access by plan

Some features are gated by plan in addition to role. For the full comparison, see Plans Overview.

Two-factor authentication

Everyone who signs in must set up an authenticator app — Admins, Professionals and Support users alike. Anyone without one is taken to the setup screen at sign-in and can go nowhere else until it is done. It cannot be switched off, and there is no setting to relax it.
